ADMINISTRATIVE ASSISTANT
STATE’S ATTORNEY OFFICE

Salary Range $18.22 – $25.11

Job Summary and Essential Functions:
This purpose of this position is to complete daily administrative tasks within the State’s Attorney Office and assist the attorneys, ensuring organizational effectiveness, efficiency, and accuracy. This position is responsible for file creation, requesting records, and preparing legal discovery.

Essential Job Functions:
• Creates files for new cases: Reviews documents to request necessary items needed for trial. Items include police reports, 911 records, true test protective orders, photos, etc.
• MDEC and Odyssey Filing: Maintain accurate lists of pending district court cases, and responsible for confirming attorneys have all files necessary on a daily basis. Responsible for template filing in the electronic file and serve system.
• Prepares dockets: Gathers and organizes each case listed and confirms discovery is completed in each case. Organizes and properly stores closed case files at the direction of attorneys.
• Subpoenas: Drafts and processes subpoenas for criminal investigations for officers and attorneys. Assist with preparing criminal trial evidence/exhibits.
• Coordinates and communicates with employees, departments, and legal professionals daily.
• Performs other duties as assigned.

Education and Qualifications:
• High school diploma or GED required, (Associate degree, or vocational or technical school degree in Political Science, Paralegal Studies preferred); One year+ of office administrative/management experience preferred or any equivalent combination of education training and experience which provides the requisite knowledge skills and abilities for this job.
• Microsoft experience (Excel, Word, and PowerPoint).
• Excellent communication and people skills.
• Ability to navigate stakeholder relationships and legal environments.
• Ability to adhere to strict confidentiality rules.
• Familiarity with State’s Attorney office and legal software, technology, and trends.

Physical Requirements and Working Environment:
• Must be physically able to operate a variety of machinery and equipment including a computer, copier, telephone, and communications equipment. Must be able to use body members to work, move or carry objects or materials. This position requires walking, standing, bending, stooping, pushing, pulling, lifting, grasping, feeling, seeing, talking, hearing, and repetitive motions.
• Must be able to exert up to twenty pounds of force occasionally, and/or up to ten pounds of force frequently. Physical demand requirements are at levels of those for light work.
• Clear vision and hearing, including the ability to communicate effectively in various environments.
• May be required to work on religious holidays.
• Regular and predictable attendance is required.
• Must work cooperatively with others.
• When position requires vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by Dorchester’s safe driving policy.
